Last Meeting Follow-up

  1. Hanadi’s official resignation from the board.
  2. Janel’s acceptance of her new position on the board.

New Business

  • Introduction of new board members.
  • Trang updated the budget. Explained the new income and expenses.
  • PTO website was introduced. Final edits will be happening and then members will get the link.
  • Members were reminded of the requirements for voting.
  • Members were reminded to keep seeking out volunteer opportunities.
  • Our new kid zone was announced. The kids will hang out in Room 115 with a parent volunteer.
  • Pumpkin Patch announcements were made. ( See notes.)
  • Our golf fundraiser date was announced. May 9th at Royal St Cloud Golf Links.
  • Members were given a bit of an overview of activities that will be going on throughout the year.
  • Members were reminded to keep clipping box tops as they will be accepted until the end of the year. Members were also informed of the double points promotion this week.

NOTES

  • Pumpkin Patch: October 12- Pumpkins arriving at 4 pm to the school. Volunteers are needed along with wheelbarrows, wagons, etc.
  • The sign up link will be sent out via remind and to the website for shift sign ups.
  • Multicultural event survey is being sent out. Will plan further after results are in.
  • Meat N Fire Spirit Night is October 7th.
  • Students will be starting a coupon book fundraiser. More details will come when they arrive.

ACTION ITEMS

  1. Elsa: Continue work on wooden pumpkins. Help arrange transport of crafts to school. Look over sponsorship papers.Give potential website suggestions to Trang.
  2. Jessica: Continue seeking donations and potential sponsorships. Coordinate with Trang about payments. Look over sponsorship papers. Give potential website suggestions to Trang.
  3. Trang: Set up Square account. Change authorized signers at the bank. Update website.
  4. Rachael: Craft outside all morning on Saturday. Look over sponsorship papers. Suggestions websites changes to Trang. Come up with solid procedures for kids zone at meetings. Handle parent volunteer schedule and activities.
  5. Janel: Continue preparing for Pumpkin Patch. Handle survey for Multicultural event. Meet with Sandra for coupon book and distribute to teachers. Get with Sabra to see if any classes have signed up for auction. Re-organize folders on drive. Make sign up for pumpkin patch. Get with Trang to look over holiday shop forms (make sure we have plenty of time). Get with Patty to confirm what we need to do regarding Fall Festival. Find graphic designer that can help make flier. Distribute flyers to local businesses to advertise pumpkin patch. Arrange with Kim Fouts to get gatorades picked up.

NEXT MONTH’S AGENDA

Remind members to sign up for volunteering at fall events. Last push for coupon book. Should have numbers from Tijuana Flats night.

  1. Welcomed families to our first school meeting!

New Business

  • Bank account balance was shared and budget was offered to any member wishing to view it. See separate budget spreadsheet for info.
  • Current Newsletter was also offered.
  • Members were shown the activities for the kids present.
  • Members were reminded that to be considered a member in good standing for voting purposes they would have to pay their dues at least two weeks prior to a vote.
  • Details were given as to why families should be voting members ( helping decide where the money goes).
  • Procedures were reviewed for any member wishing to ask a question or address the meeting. Speakers will have a three minute time limit. Anything longer or private can be shared through email.
  • Members were reminded that at any time if they have concerns about something school specific they should address the school directly.
  • Members were reminded of the community contact list.
  • Board vacancies were announced again. Application process and deadline were shared.
  • Discussion of Pumpkin Patch. Delivery on October 12-all hands on deck. Patch opens the following day. Volunteers will begin signing up in September. Committee members will meet in September.
  • International Festival was discussed. Members were encouraged to join this committee to begin planning this fun event.
  • Golf fundraiser was discussed. Although this fundraiser is many months away, a good deal of planning takes place way in advance.
  • Box Tops were explained.
  • Reminder given about Tijuana Flats night September 9th. Discussed options for reminders.
  • Shared Remind code again.
  • Next meeting is September 18th.
  • Raffle winners announced!
  • Many members joined the current committees and expressed interest in board positions. Follow up will come soon.

NOTES

  • We have a list of supplies requested to help with pumpkin patch. Will be reaching out to families shortly to see if there are any leads.

ACTION ITEMS

  • Trang: Set up Square account. Update budget with newest donations and dues. Help filter board candidates. Help review upcoming forms. Set up financial supplies for pumpkin patch. Train volunteers in use of Square scanner. Make template for income tracking. Contact holiday shop.
  • Hanadi: See about getting PTO a mailbox where the teachers have theirs.
  • Sabra: See about PTO paying a stipend to be included in the schools printing and copying.
  • Janel: Send applications to potential board members. Review candidates. Arrange pick up of donations from Pepsico. Get list of donors from Sherri. Speak with teachers about getting some cute thank you cards from the kids. Create proposal form for request of support. Create form for committees to submit to get budget approved for events. Schedule board meeting and set agenda. Decide on custom pumpkins for pumpkin patch ( get some opinions on this). Make proposal for funds for pumpkin patch. Speak with art teacher about possible help from her to make decorations. Contact sock guy and keychain lady. Get quotes and turn around times. Submit tentative calendar to be voted and approved at first full board meeting. Ask the city about any restrictions on size or amount of signs on our fence. Get with staff about sponsor levels. Speak with parents about rotating volunteer for kids zone. Get with Kip to see who his donors have been. Get with Kip and Patty to map out where pumpkins will go when delivered. Do the rest of your to-do list lady!
